This article outlines the retention settings for both Panopto and Zoom to help manage and optimize your content storage.

Panopto Retention Plan

Overview

To ensure efficient use of storage space, Panopto's retention is based on content viewing activity.

Retention Details

  • Delete Content if Not Viewed in Over 3 Years: Any content that has not been viewed within the last three years will be deleted. To see when a recording was last viewed:
    • Navigate to a course folder in Panopto
    • Click the 3 dots on the video's thumbnail
    • Click "Stats"
    • Navigate to "Views and Downloads by Day"
    • Adjust the time range in the upper right corner to "Any time"
  • Recycle Bin: Deleted content will be moved to the recycle bin, where it will remain for 90 days.
  • Permanent Deletion: After 90 days in the recycle bin, content will be permanently deleted.
  • Custom Archiving: Archived videos will not be deleted, ensuring access to videos that are not frequently used but still needed.

Zoom Retention Plan

Overview

Zoom's retention helps manage cloud storage by automatically handling old recordings.

Retention Details

  • Retention Period: Recordings are retained for 3 years after creation.
  • Post-Retention Process:
    • Move to Trash: After 3 years, recordings are moved to the Zoom cloud trash.
    • Trash Retention: Recordings remain in the cloud trash for 30 days.
      • You will receive an email notification 7 days prior to a recording being permanently deleted. 
    • Permanent Deletion: After 30 days in the trash, recordings are permanently deleted.
      • Trash can be accessed in the upper right corner of the Recordings page in Zoom (assuming there are items in the trash)


To download Zoom cloud recordings that you wish to keep:

  • On the Recordings page, click the more option .
    Additional options will appear. 
  • Click Download.

This also promotes efficient use of resources, ensuring that important and frequently accessed content remains available while removing outdated and unused videos.
