Overview

Broadcast communications are emails typically sent to large populations of users. Since this type of communication reaches so many people, it is more tightly controlled than other communication methods. 

Instructions

  1. Determine the population that your communication needs to reach.
    1. The data could exist in systems that are outside the ability of ITS to access.
    2. If ITS provides access to the population, students who have selected a full privacy hold or a directory privacy hold will be removed.
    3. The Data Steward or UWF employee responsible for the data/population may require additional restrictions or clarification on how the data may be used or shared. These restrictions may be required even if the Designated Approver has approved access to the data/population.
  2. Visit Broadcast Distribution Standards and determine which Distribution Audience best fits your population.
  3. Contact the Designated Approver and request permission to contact the distribution audience. The approval will need to be via email.
    1. Student requests must be submitted by a faculty mentor/advisor
    2. Student requests to a VP or President must also be approved by the faculty mentor's Dean
  4. All broadcast emails requested for research purposes must secure the approval of the UWF Institutional Review Board (IRB) in addition to the Designated Approver. A current UWF IRB approval must be secured and included in the Access Request described below.
  5. Submit an Access Request to the ITS Help Desk and include the following details:
    • Do you know where the data resides or have permission to use the data?
    • Paste or attach your approval(s) into the ticket
    • Population you need to reach
    • Amount of time you are requesting access to the population
    • Email address you will be sending the communication(s) from
    • Other pertinent details

  • deceased
  • under 18 years old
  • has full or directory privacy hold
  • students without a UWF email address
