Overview
State of Florida employees classified as permanent full-time employees may be allowed to register on a space-available basis at the University for a maximum of six semester hours of tuition-free courses per semester. State of Florida employees include employees of the executive, legislative, and judicial branches of state government. Persons employed by state universities, community colleges or school districts are NOT eligible for a State Employee Tuition Fee Waiver.
The State Employee Waiver program does not allow overrides into closed classes. If you are granted a capacity override for a closed class, you will be fee liable for the course.
Florida Certificate of Participation form
If a teacher has been issued a Florida Certificate of Participation form, they do not need to wait until drop/add to register for courses; this is a different program from the State Employee Tuition Waiver. This program may be referred to different ways. Some (typically teachers) refer to it as the Florida Certificate Participation Program, but UWF Auxiliary Services (Bldg. 20, Rm 151), who oversees the program at UWF, refers to it as the Intern Participation Program. They can register by their student status according to the dates in the Academic Calendar. Only matriculation fees are covered under the certificate. The student is liable for any outstanding fees by the fee payment deadline. Once the student's account is coded by the Cashier's Office, the remaining balance can be viewed and paid through MyUWF. Questions about this program should be referred to UWF Auxiliary Services at 850-474-3012. Registration issues may be addressed to the Office of the Registrar.

Registration Procedures:
Below are the step-by-step registration procedures specific to state employees wishing to use the State Employee Tuition Fee Waiver. Each instruction must be followed in order. If state waiver applicants do not follow the order of instructions, it may result to being tuition and fee liable. For policies that may affect your registration, please see the University Catalog.
1. Admission
Students must be admitted to the University of West Florida prior to registering. Apply online at http://uwf.edu/admissions.
Students that have been absent for three (3) consecutive semesters must submit another admission's application to reactivate their student status.

2. Course Search
Before registering for courses, it is the state waiver recipient's responsibility to know when class starts and if the waiver may apply.
When looking for course offerings, state waiver recipients must be aware of class start dates, course attributes, and number of credit hours in order to avoid any errors when applying for the State Employee Tuition Fee Waiver.
If the State Waiver applicant registers before the course's start date, they will be tuition and fee liable. In order for the waiver to apply for the course, the State Waiver recipient may search for the same course number, BUT with a different CRN.
3. Complete the State Employee Tuition Fee Waiver Form
Before completing the State Employee Tuition Fee Waiver form, make sure you are completing the correct form. The Registrar's Office will only accept the UWF State Employee Tuition Fee Waiver Form. If State Waiver recipients submit the State Employee Participation form, the form will be denied and the student will be asked to submit the correct form.
- Once you have selected your course(s), you may include them and other alternative courses in the State Employee Tuition Fee Waiver form.
Make sure to include the CRN and Subject Course Number in the form before submitting. If you are registered for other courses that are not mentioned in the form, you will have to submit a State Employee Tuition Fee Waiver with the registered courses or you will be tuition and fee liable.
It is possible to write the CRN's of the Course Numbers either in one single box, or in multiple rows. All CRN's must be approved by your supervisor. The images below will demonstrate the input.
or - After you have specified your courses, you will have to mark each acknowledgement for the form:
- Must be admitted to the University as a full-time State Employee: you may contact the Controller's Office for verification.
- May request up to 6 credit hours per semester: a state waiver recipient may only request up to 6 credit hours for the Spring semester, 6 credit hours for the Summer semester, and 6 credit hours for the Fall semester.
- If you are registering for more than 6 credit hours in a semester, please note that the State Employee Tuition Fee Waiver only covers 6 credit hours and you will be tuition and fee liable for the remaining credit hours.
- If you are registering for more than 6 credit hours in a semester, and are paying out-of-pocket for the remaining credit hours, please note so either in your form or when submitting the form.
- Must turn in the State Employee Tuition Waiver Form after course registration (during the add/drop period): state waiver recipients must submit the form during the course(s)'s first week of classes.
- If a form is submitted after the drop/add period, it will be considered late, and the Controller's office will assess a $100 Late Payment Fee.
- If a form is submitted 2 week after the drop/add period, the State Employee Tuition Fee Waiver form may not be accepted, and the student will be tuition and fee liable.
- May only register for course(s) during the designated State Waiver registration period: see course search instructions above.

- Signatures from both the student and supervisor are required for processing. If your form does not contain either signature, you will be contacted to submit another form.
4. Register for Class(es)
State Employee Tuition Fee Waiver applicants are responsible to complete their own registration. State Employee Waiver recipients may ONLY register for classes during the course's specific start date. When searching for courses, it is important to note the start date of the CRN.
If the State Waiver applicant registers before the course's start date, it will be considered early registration and the student will be tuition and fee liable. In order for the waiver to apply, the State Waiver recipient may search for the same course number, BUT with a different CRN.
The State Employee Waiver program does not allow overrides into closed classes (no seats available). If you are granted a capacity override for a closed class, you will be fee liable for the course.
If the student has two (2) classes that have different start dates, the student must register for the respective time for each course, while submitting the form each time registration is completed.
Example: a student has a class that starts on January 7th and another class that starts on March 4th. This student must register for the class that starts on January 7th during the course's first week of classes (drop/add period is January 7th - January 13th) and submit the form. Then, the student registers for the other course that starts on March 4th during the course's first week of classes (drop/add period is March 4th - March 10th) and submits the form again during this time.
If the student makes a change to their schedule (i.e. adding another course), they MUST resubmit the State Waiver form. If the new course is in the previously submitted form, the student may resubmit the same form; if the new course is not mentioned in the previously submitted state waiver form, the student may submit an updated state waiver form.
Example 1: a student registers for a course on time and submits the state waiver form on time. While still in the drop/add week, the student decides to change the course. The student registers for another class and drops the previously registered course. The student MUST resubmit a State Waiver form to the Registrar's Office indicating that there has been a change in schedule. This will alert the Controller's Office to add the Fee Waiver to the newly added course.
Example 2: a student registers for two (2) courses on time and submits the state waiver form on time. The student decides that the workload is too much, then they decide to drop one of the courses. The student does not have to notify the Registrar's Office of the Controller's Office or the drop.
Example 3: a student is registered for two (2) courses and has the State Employee Tuition Fee Waiver applied for six (6) credit hours. If the student decides to withdraw one of the classes, the student won't be tuition and fee liable for the withdrawal; although, the Controller's office will still count the State Employee Waiver towards the withdrawn course.

5. Submit Form
After course registration is completed, you may submit your State Employee Tuition Fee Waiver form to the Registrar's Office. There are three (3) different ways to submit the form:
- Email: Registrar@uwf.edu.
- No Encrypted Emails.
- Must Include UWF ID.
- Fax: (850) 473-7345.
- Must Include UWF ID.
- In Person: 11000 University Pkwy, Bldg 18 Pensacola FL 32514.
- Must have the form printed.
- Drop Off forms at Argo Central's front desk.
- Mus Include UWF ID.
After the form is submitted, the Registrar's Office will respond with an email stating that the form has been received.
If there are any errors on your form, a Registration Coordinator will reach out to you indicating the error(s) in the form.
Please allow two (2) to three (3) business days for processing. After your form is processed, it will be forwarded to the Controller's Office.

6. Review Your Balance
Students may review their fee assessment online by accessing MyUWF and using the CashNet app in the "Financial Resources" folder.
- Fees will be assessed with a balance due until compliance and eligibility have been approved and the fee waivers have been applied.
- When state waiver recipients register for courses, a $100 Late Registration Fee is automatically assessed; this fee is waived by the State Employee Tuition Fee Waiver.
- If a state waiver recipient submits their form on time, but it the waiver is not applied over the weekend, we recommend you check your email for any updates. If there are no email updates, it means that the form has not been processed by either the Registrar's Office or the Controller's Office yet.
- When the form is processed after the first week of classes, any additional fees will be waived.
- If a state waiver recipient submits their form after the course's first week of classes (drop/add period), the $100 Late Payment Fee may not be waived.
