These Zoom Phone Billing Guidelines have been established to support the campus-wide transition to Zoom Phone, scheduled for completion in Spring 2026. During the transition period, Telecom charges for each unit will be fixed at the amount of the last monthly Telecom bill issued immediately prior to that unit’s transition to Zoom Phone. Although monthly charges previously varied as lines were added or removed, this fixed amount will remain in place until the start of the next fiscal year. This approach ensures stable and predictable billing regardless of when - January, March, or any other month - a department is migrated to Zoom Phone.by the end of the 2025-2026 fiscal year. The monthly telecom charges will be collected for June 2025, but starting with the new fiscal year, billing will be handled as follows:

Auxiliary Units:

  • $270 per line per year, billed at the start of the fiscal year.
  • Charges may be adjusted every two years based on usage and overhead.
  • Mid-year line-count adjustments only under defined exceptions.

E&G Units:

  • No annual line charge (centrally funded).

  • Central cost allocations may be adjusted every two years.

All Units:

  • Per-work-order Telecom charges of $19.20 may apply for physical handset desk phone support.
  • International dialing for the university’s Zoom Phone service is enabled upon request only. Any charges incurred will be billed to the requesting department at the end of the billing cycle.
  • Fax Services transitioned to Zoom Phone is included at no extra cost.

Soft Phones, Physical

Desk Phones, and Telecom Work Orders

Zoom Phone operates fully as a soft phone, which generally eliminates the need for Telecom work orders for standard moves or changes.

However, any unit - Auxiliary or E&G - may incur Telecom work order charges if:

  • The unit deploys physical handsetsdesk phones, and

  • Telecom staff must perform work such as relocating a device, activating a network jack, on-site troubleshooting, or other hands-on support.

  • Zoom Phone's online fax service is  is the preferred solution for fax services faxing where feasible.

  • Existing physical fax machines may be replaced with Zoom Phone online fax functionality
  • For consideration during the migration: By eliminating the need for physical fax machines, departments can improve collaboration and potentially reassign unused fax lines to other users. A single fax number can be configured with a shared fax inbox/outbox, allowing multiple authorized users to send, receive, and monitor faxes from one centralized location in the Zoom app.

  • If a department chooses to purchase or install a new physical fax machine instead of using Zoom Phone, the department may be responsible for the cost of a Voice Gateway Adapter (VGA).

  • Additional charges may apply for moves, adds, or changes associated with physical fax machines per incident at the standard Telecom rate.

  • Requests for fax services, including Zoom Phone fax or physical fax machine support, must be submitted through the standard telecommunications service request process.
